Overview
TDS is currently seeking a Front Office Assistant. This position will support the efforts of the Administration Department, working directly with the Lead Receptionist to ensure that board rooms are prepared for all client meetings, firm events, and internal meetings. The Front Office Assistant will be responsible for all front-of-house administrative functions including but not limited to office aesthetics, inventory management, firm and internal client events assistance, facilities management, vendor deliveries, and back-up for reception.
Key Responsibilities
- Perform basic cleaning and maintenance of reception area, lounge, boardrooms, kitchens, servery, and other common areas.
- Coordinate with the building cleaning team to ensure proper timing and cleaning and maintenance of the facilities.
- Ensure all provisions are in place and identify gaps to address/improve.
- Maintain inventory of supplies.
- Support the Administrative and Marketing Departments with set up for internal/external events.
- Work with third-party suppliers, receive and redirect incoming deliveries of catering and event supplies.
- Provide backup to Lead Receptionist and Receptionist positions.
- Some lifting required (up to 50 lbs)
- Other duties as assigned.
To be successful in this role, you must work effectively in a professional, fast paced environment, have experience in an office or business environment, possess organizational, interpersonal and communication skills, have a strong emphasis on attention to detail, strong written and verbal communication skills, mature attitude and professional and strong work ethic, ability to prioritize, have a mindset for helping others, and the ability to work independently and as part of a team.
