Overview

The Marketing-Business Development Admin Assistant will support both marketing and business development departments with important administrative duties. This role will be involved in many aspects of both departments’ operations and will help to facilitate interactions between the departments. This role demands a team player with exceptional time management and attention to detail.

Key Responsibilities

Marketing and Business Development Administrative Support

  • Provide administrative support for the Marketing and Business Development (BD) teams.
  • Assist with completing marketing-related onboarding and offboarding checklists for lawyers.
  • Coordinate meetings, reservations, and event logistics, including ordering meals and setting up/taking down event spaces.
  • Manage the firm’s corporate memberships, ensuring annual reviews, usage assessment, and communication of benefits to stakeholders.
  • Prepare and update documentation for legal rankings, awards, and directories (e.g., Chambers and Partners, Lexpert, Best Lawyers).
  • Review and update content in the firm’s email marketing platform for accuracy.
  • Lead execution of sporting events, including ticket distribution and food/beverage arrangements.
  • Assist with business development initiatives, including reporting on email metrics, preparing RFPs, reformatting documents, and managing website intake inquiries.
  • Maintain and manage client lists in the CRM system, follow up on BD partner events, and update BD sections of the firm’s intranet.

Requirements

  • Exceptional organizational, interpersonal, and communication skills, with strong attention to detail and proofreading abilities.
  • Professional demeanor with a mature attitude, strong work ethic, and ability to handle stress, tight deadlines, and competing priorities.
  • Ability to multitask, prioritize, and manage multiple projects while maintaining a process-oriented, collaborative approach.

  • Flexible, diplomatic, and adaptable, capable of balancing independent work with teamwork.
  • Strong written and verbal communication skills, with professional presentation and business acumen.
  • Skilled in synthesizing information, coordinating with stakeholders, and managing relationships with leadership, support teams, vendors, and internal clients.
  • Availability to work off-hours or travel to firm offices as needed.

Technical Skills:

  • Marketing knowledge, education and/or experience in related field.
  • Strong proficiency in Microsoft Office Suite skills
  • Research skills

Education and Experience:

  • Completion of a degree or college diploma in Business Administration or Marketing with a digital marketing focus as an asset.
  • A combination of education and experience will be considered.

Others:

  • A valid driver’s license and access to a vehicle.
  • Availability to work flexible hours at times, including evenings to attend business events and receptions.
